Studio cancellation policy template for yoga and pilates classes

The short answer

A good studio cancellation policy fits on one screen: a free cancellation window (often 12 or 24 hours), what happens to the credit after that window, how no-shows are treated, separate rules for private sessions, and what members get when the studio cancels. Show it before purchase and before every booking, and apply it the same way to everyone.

A studio cancellation policy should answer five questions in plain words: until when members can cancel for free, what happens after that, how no-shows are treated, what the rules are for private sessions, and what members get when the studio cancels. Below is a template to copy, followed by the reasoning behind each line.

What should a studio cancellation policy include?

Keep it short enough to read on a phone. These are the parts that matter:

The template (copy and adapt)

Replace the parts in square brackets. Keep the numbers consistent with your booking settings.

Class cancellation policy for [Studio name]

Group classes. You can cancel a booking for free until [12] hours before the class starts. Your credit goes back to your pass, or the class is no longer counted in your membership limit.

Late cancellations. If you cancel less than [12] hours before the class, the booking counts as a late cancellation and the credit is used. On unlimited memberships, [three] late cancellations or no-shows in [30] days may [pause new bookings for 7 days / incur a fee of CA$10].

No-shows. If you do not attend and did not cancel, the credit is used. Please cancel even at the last minute: someone on the waitlist may get your spot.

Waitlist. If a spot opens, we book the first person on the waitlist automatically until [24] hours before class and send a confirmation. Once you are booked, the same cancellation rules apply. Please leave the waitlist if you can no longer come.

Private sessions. Free cancellation until [24] hours before the session, with a full refund. After that, the payment is kept. If we or your teacher need to cancel, you always get a full refund.

When we cancel. If we cancel a class or close the studio, every booked member gets their credit back, or a refund for single paid bookings, and we let you know by e-mail as early as possible.

Arriving late. For your safety, we may not admit you more than [10] minutes after the class starts. A late arrival who is not admitted counts as a no-show.

Exceptions. For illness, injury or emergencies, write to [studio e-mail]. Our team may return a credit at its discretion.

This policy applies to bookings made from [date]. Questions: [studio e-mail].

How long should the free cancellation window be?

Pick the shortest window that still gives you time to refill the seat.

  • 2 to 4 hours: large mat classes where a spot is easy to fill or rarely full.
  • 12 hours: a good default for most yoga and mat pilates schedules.
  • 24 hours: small reformer or apparatus classes and private sessions, where each seat or hour matters.

Early morning classes are a special case. With a 12-hour window, a 07:00 class needs cancelling by 19:00 the evening before. That is reasonable, but say it explicitly, or members will be caught out.

Credit used, fee, or both?

Match the penalty to what the member bought.

Whatever you choose, keep it proportionate. A late cancellation fee larger than the class price is hard to defend and harder to collect.

Is a studio cancellation policy legally binding?

A clear policy, shown before purchase and accepted at booking, is the strongest position you can be in. In Canada and the US, consumer protection rules differ by province and state, and they generally expect terms to be clear, shown in advance and not excessive. This article is not legal advice: ask a local lawyer or your industry association to review the final wording, especially for membership cancellation and refunds.

Practical steps that help in any jurisdiction:

  • Ask members to accept your terms before their first booking, and record when they did.
  • Show the cancellation deadline on every booking confirmation.
  • Apply the policy the same way to everyone, and record exceptions.

Where should the policy appear?

A policy that members never see cannot do its job. Put it, or a one-line summary with a link, in every place where a member makes a decision:

  • On your pricing page, next to each pass and membership.
  • In the checkout, with a box to accept the terms before the first purchase.
  • In every booking confirmation: “Free cancellation until Thursday 18:00.”
  • In the cancel dialog itself, showing whether the credit comes back.
  • At the front desk, in a short printed version.

The one-line summary matters most. Few people read a full policy, but almost everyone reads the deadline next to the button.

How do you introduce a new policy without upsetting members?

  • Announce it two to four weeks ahead, by e-mail and at the front desk.
  • Explain the reason in one sentence: “So people on the waitlist can get a spot.”
  • Apply it to new bookings only.
  • Be generous in the first weeks. Return credits the first time, and point to the rule.

When a member cancels from their account, they see before confirming whether the credit comes back or is used as a late cancellation, along with the deadline. The freed seat goes to the waitlist automatically (Growth plan). Private sessions have their own free cancellation window with a full refund, and the payment is kept after it. Members accept your terms and waivers before booking, and each acceptance is recorded.
